Take a payment

Record cash, card, e-Transfer, cheque or store credit on an invoice, split it across methods and send the receipt.

The Take payment window is where money goes on an invoice. It opens at the end of a sale on the Sales page, from Take $… on an invoice, and from Take payment in the Invoices list. Owners, managers and front desk staff can take payments.

The window shows what's Left to pay in large type. It only takes what's owing, so you can't overcharge by mistake.

Take the money

  1. Pick how they're paying. You'll see the methods your store takes, such as Cash, Debit, Credit card, e-Transfer and Cheque. If you've paired a card reader, Card reader comes first.
  2. Check the Amount. It starts at the full balance.
  3. For cash, type the Cash given, or tap one of the quick amounts. Change due shows in large type.
  4. For other methods, add a Reference if you have one, such as a card slip, cheque or e-Transfer number.
  5. Choose the button, such as Take $40.00 cash or Charge $64.83 to debit.

If the cash given is less than the amount, the button reads Short by and the amount missing.

When your store rounds cash, the amount for a cash payment that settles the bill is rounded to the nearest 5 cents. See Payment methods, taxes and cash rounding.

Split a payment

Enter less than the full balance. The hint under Amount tells you what will be left. Take that part, and the window stays open with the rest ready for the next method. Each part taken is listed at the top.

Use store credit or a gift card

If the customer has store credit or a gift card, it appears as a method with the amount left. Pick it, choose which one if they have several, and use it. Whatever isn't spent stays on their account. Use another method for the rest.

Trade in a device toward the bill

When the invoice has a customer, Trade in a device toward this buys their old device and pays its value onto the invoice. You come back to the invoice to take the rest. Owners, managers and front desk staff can do this. See Buying devices from customers.

A payment taken earlier

If you're entering a payment after the fact, choose Taken earlier? Set the date and set Taken on. A payment can't be dated in the future.

Send the receipt

Once it's paid in full, the window shows Paid in full and asks about the receipt: Text, Email, Print or None. It starts on the way the customer prefers to hear from you. Text and email need a customer on file with a phone number or email address.

Paying a repair's invoice in full also finishes the repair if it was waiting for pickup.

Note: A payment entered by mistake can be removed from the invoice's Payments tab. To give money back, use a refund instead. See Refund a payment.
