Deposits on repairs

Take a deposit when a repair comes in or later, in cash, by card or on the card reader, and see it come off at pickup.

A deposit is money the customer pays before the work is done, such as the cost of a part you're ordering. It sits on the repair until you invoice it, then moves onto the invoice and comes off the balance at pickup.

Owners, managers and front desk staff can take deposits.

Take a deposit at check-in

The check-in screen has a Deposit field. If your store suggests deposits, it's filled in for you as you pick services. Change it, or clear it for none.

  1. Check the Deposit amount.
  2. Choose how it's Paid by, and add a Reference if there's a card slip or e-Transfer number.
  3. Finish checking the repair in.

The summary shows the Balance after deposit.

If you have a card reader, turn on On the card reader instead of choosing a method. Once the repair is created, its page opens with the deposit waiting on the reader for the customer's card. See Check in a repair.

Take a deposit later

  1. Open the repair.
  2. Choose Take a deposit.
  3. Enter the Amount and choose how it's Paid by: cash, debit, credit card, e-Transfer or cheque, whichever your store takes.
  4. Add a Reference if you have one.
  5. Choose Take and the amount.

With a card reader paired, choose On and the reader's name instead, and the customer pays on the reader.

The deposit shows under the repair's totals with how and when it was paid, and the balance drops to match.

When the repair is invoiced

Deposits move onto the invoice exactly as they were taken: same amount, same method, same person and time. On the invoice's Payments tab they show as Deposit, followed by the method. The customer pays the rest at pickup.

Once the repair is invoiced, its deposits can only change on the invoice. To give one back, refund it there. See Refund a payment.

Remove a deposit

Only remove a deposit that was entered by mistake or already given back.

  1. On the repair, choose the cross beside the deposit.
  2. Choose Remove to confirm.

Set the suggested deposit

Owners and managers set this in Settings › Service orders.

  • Suggested deposit, % of the estimate fills in the deposit at check-in. Use 0 for none.
  • For estimates from skips the suggestion for smaller repairs. Use 0 for every estimate.

No deposit is suggested for warranty returns, or when your store hides prices at check-in.

Note: The Deposits taken figure on the end-of-day report counts the day's deposits on repairs that aren't invoiced yet.
