Change an invoice's lines and discounts

Add, change or remove lines on an invoice, set the taxes on each line, and give a discount on a line or the whole invoice.

Until it's paid, an invoice can change. Add a charge you forgot, fix a price, take tax off a line, or give a discount. Do it from the Items tab on the invoice's page.

Owners, managers and front desk staff can change lines and give discounts.

Add a line

  1. Open the invoice and stay on the Items tab.
  2. Choose Add line.
  3. Pick Service or Part.
  4. Enter the Name. Add a Description if you want a second line printed under the name.
  5. Enter the Qty and Price each.
  6. Under Tax, tap any tax the line shouldn't be charged. A line with every tax off shows No tax.
  7. Choose Add line.

Change a line's price or tax

  1. Choose the pencil icon on the line.
  2. Change the Name, Description, Qty, Price each or the taxes.
  3. Choose Save line.

To take a line off, choose its bin icon.

Give a discount

  1. Choose Discount.
  2. Tap a quick pick if your store has set some up, or enter a Name.
  3. Under Applies to, choose The whole invoice or one line.
  4. Enter how much is Off, and pick Percent or Dollars.
  5. Choose Apply discount.

Discounts come off before tax. Each one shows under the subtotal with its name. To take it back off, choose the cross beside it.

If your store limits how big a discount front desk staff can give, a larger one asks for an owner or manager's approval in the same window. See Discount limits, refunds and approval PINs.

A customer with a standing discount gets it on new invoices without anyone having to remember. See Store credit, gift cards and standing discounts.

When an invoice is locked

Once an invoice is paid in full, its lines and discounts lock so the paperwork matches the money. To change one, refund or remove a payment first, and the invoice opens up again. Cancelled invoices and invoices closed in QuickBooks can't be changed.

An invoice with nothing to pay

If an invoice comes to $0.00, such as warranty work at no charge, there's no money to take. Choose Mark as settled on the balance card to finish it.

Tip: Someone else changing the same invoice shows up on your screen straight away, so two people at the counter don't trip over each other.
