The buy log and holds
How the hold on a bought device works, how to find a buy, export the log for the police, and correct a buy that was recorded wrong.
Every device bought from a customer is held for a set time, and its record is kept in the buy log. This is what a second-hand dealer is asked to keep, and it's ready when the police ask.
The hold
A bought device goes into stock on hold for the number of days set in Buying devices settings. While it's on hold:
- the device shows On hold until its date, with a link to See the buy;
- it can't be sold, returned to a supplier or scrapped;
- Sales leaves it out of searches and won't add it to an invoice.
Select Print hold tag on the device or the buy to label its bin. The tag shows the UD number, the hold date and the buy number, with no seller's name.
When the hold ends, the device is ready to sell like any other. Select Print label for a shelf label and Sell at the register to sell it.
Find a buy
- Open Used devices and select Buy log.
- Search by the seller's name, IMEI, serial, or the B- or UD-number. Owners and managers can also search by ID number.
- To narrow it to some days, set From and To and select Show.
Each row shows the buy, the date, the seller, the device, what you paid and how, whether the hold is still on, and who bought it. Select a row to open the buy. It shows the device and its photos, the seller and their ID, what was paid, the signature, and the buy's history.
Owners, managers and the front desk can see the buy log. Only owners and managers see the seller's ID details and ID photos.
Export the log for the police
Owners and managers can export the buys between two days, with each seller's ID:
- In the Buy log, set From and To. Left blank, they cover the start of this year to today.
- Select Export CSV for a spreadsheet, or Print for a printed list you can also save as a PDF from the print window.
Correct a buy
Owners and managers can fix what was recorded:
- Open the buy and select Correct.
- Change what's wrong: the seller's ID and description, the ID photos, the stolen-phone check, the notes, or the device photos.
- For a cash or e-transfer buy, you can also change the Price paid and Paid by. The device's cost changes with it.
- Select Save the correction.
A store credit or trade-in buy keeps its price, since the credit may be spent already. The signature always stays as signed. Every correction goes in the buy's History, with who changed it and when.
