Parts and stock
Keep the parts and retail items you stock in Inventory, with prices, reorder levels and quick-sell buttons for the register.
Inventory holds everything you keep on the shelf: repair parts like screens and batteries, and retail items like cases and chargers. The register sells from it and keeps the count, and purchase orders top it up.
Owners and managers add and change parts. Everyone else can look things up and sell them, and sees prices but not costs.
Add a part
- Open Inventory in the left menu.
- Select Add part.
- Enter the Name, such as "Screen, iPhone 13 (OLED)".
- Enter the SKU, or scan its barcode. Scans and searches find the part by its SKU, and part labels print it as a barcode.
- Pick the Type: Device Part for repair parts, Retail for things sold over the counter, Buy & Sell or Consignment.
- Fill in what helps you find it: Category (such as Screens or Chargers), For (the kind of device), Manufacturer, Model number and Vendor.
- Enter the Cost (what you pay each) and the Price. The margin shows as you type, and turns red when the price is below cost.
- Enter how many are On hand now.
- Select Add part.
Reorder at and Stock up to
Reorder at is the level where a part counts as low. When the count on hand drops to it or below, the part shows on the Low stock tab and in the count beside Inventory in the menu. Leave it at 0 for parts you never reorder.
Stock up to is where a reorder should bring the count back to. When you start a purchase order, low parts are suggested in the quantity that tops them up to this level. Leave it at 0 and OnSite uses twice the reorder level.
Quick sell
Turn on Quick sell at the point of sale for the things you sell all day, like tempered glass or cables. They get a one-tap tile on the Quick sell shelf in Sales, and their own Quick sell tab in Inventory.
Turn off Taxable for anything sold without tax.
Find and change a part
Search by name, SKU or model number, or scan a barcode. Scanning an exact SKU opens that part straight away. You can also filter by category, and choose which columns the list shows.
Select a part to open it. Stock and price shows how many are on hand, how many are on order, how many sold in the last 30 days, and its price. Owners and managers also see its cost and margin. To change it, select Edit part, make your changes and select Save part. The register has the new details at once.
Costs
Only owners and managers see costs, margins and the On the shelf, at cost total, and only they can change a part's cost. When stock arrives on a purchase order at a different price, the part's cost becomes the average of what was on the shelf and what arrived, so your margins stay true. See Receive a purchase order.
Retire a part
When you stop stocking something, open it and select Retire. It no longer shows at the register, but past invoices keep it. Retired parts wait on the Retired tab; select Bring back to stock it again.
Counting stock and quick deliveries are covered in Receive and count stock.
