Receive a purchase order

Count in a delivery against its purchase order, in full or in part, and let stock, costs and waiting repairs update themselves.

When a box arrives, receive it against its purchase order. Stock goes up, waiting repairs hear their part is in, and anything missing stays on order. A delivery can come in several boxes over several days.

Anyone who works on part requests can receive: owners, managers, the front desk and technicians.

Count what came

  1. Open the purchase order and select Receive delivery. From a part request on the order, you can also select Receive on PO-….
  2. Count each line (the ways to count are below).
  3. Owners and managers: if the packing slip shows a different price, change Cost each before receiving.
  4. Add the slip number, damage or anything odd under Packing slip or note.
  5. Select Receive. The button names how many items you counted.

There are three ways to count:

  • Scan each part's barcode, or type its SKU into Scan and press Enter.
  • Use + and − on a line, or type the number in Arrived now.
  • Select Everything arrived when the box is complete.

The panel beside the list tells you what will happen before you commit: whose stock goes up, which customers get the part-arrived message, and what stays on order.

What happens next

  • Stocked parts go up by what arrived.
  • Each part request on the line is marked arrived. Its customer gets the part-arrived message, the repair goes back on the bench, and its technician is told the part is in.
  • Anything not counted stays on order. The order becomes Partly received, and the line shows how many are still to come.
  • When everything is in, the order becomes Received.

The order keeps each delivery with who received it, when, and your note.

Average cost

When stock arrives at a different price, the part's cost becomes the average of what was on the shelf and what arrived. Say you have 4 screens at $50 and receive 6 at $40: the cost becomes $44. Your margins and the value of your stock stay true as prices move.

Staff who can't see costs still count deliveries. The cost stays as ordered.

Labels for what arrived

After receiving, the confirmation offers to print a label for each unit that went on the shelf. Units that came for a repair are left out, since they go straight to the bench. See Labels and label printers.

When the rest isn't coming

If part of a line is backordered for good, or you no longer want it, an owner or manager can select Cancel beside that line on the order. Only what's still to come is cancelled. Part requests still waiting on it go back to be ordered again.
