Run an appointment

Mark a customer here or start an on-site visit, record what was done, charge for it, and handle reminders, no-shows and cancellations.

On the day, an appointment goes from booked to started to done. These steps work from the calendar's details or from the appointment's own page. Everyone on staff can do them.

The customer arrives

For an in-store appointment, click Here when they walk in. The person it's booked with is told. For an on-site visit, the technician clicks Start on arrival, from their phone if they like. These buttons show on the appointment's day.

If they've brought something to fix, click New service order. It opens a new repair filled in from the appointment, linked to it. To link an existing repair instead, use the Repair card on the appointment's page.

Record what was done

On the appointment's page, What was done holds notes and photos, such as what a site assessment found. Type a note, attach photos or files if you like, and click Add note.

Finish and charge

  1. Click Done when the visit is over.
  2. Click Charge.
  3. Check the price. A set price is filled in. An hourly service shows the time from Start to Done, rounded up, and you can change the minutes. A service priced on the day asks you for the price.
  4. Click Charge it. It makes an invoice for the appointment, ready to take a payment.

When the appointment is linked to a repair, the button reads Add to and the order number, and the charge goes on that repair instead of its own invoice.

Clicked Done too soon? Not done yet reopens it, as long as it hasn't been charged.

Send a reminder

Customers get a reminder by themselves if your store has them turned on. To send one now, click Remind. You see the exact text before it goes, then click the button to text the customer.

They didn't come

Once the start time has passed, click Didn't come to record a no-show. No-shows count on the customer's Appointments tab, so repeat ones are easy to spot. If they turn up after all, click They came after all.

Cancel

From the calendar, Cancel frees the slot at once and the customer is told, unless you click Undo in time to put it back. From the appointment's page you get more choice:

  1. Click Cancel.
  2. Optionally say Why. It's kept on the appointment, not sent.
  3. Leave the switch on to tell the customer it's cancelled, or turn it off if they already know.
  4. Click Cancel the appointment.

Put it back restores a cancelled appointment. If the customer was told it was cancelled, they're sent the booking again.

Note: When a customer cancels from their own page, the person it was booked with hears about it under the bell, with their reason.
