House calls and your service area
Plan the day's on-site visits with routes for each person, and set how far your store goes for house calls.
On-site appointments take your team to the customer's home or business. OnSite keeps travel time free around each visit, shows the day's stops in order, and can turn away bookings outside the area you cover.
Plan the day's house calls
- Open Appointments and choose Day.
- Pick the day along the top.
Each person's column shows travel time as a band before and after each on-site visit. Below the columns, House calls lists the day's on-site stops, numbered in time order, with the address and who's going. It can also show the stops on a map.
Under the list, a button for each person, such as Sam's route, opens directions from the store through each of their stops in turn. Unassigned stops does the same for visits booked with anyone.
For a single visit, click its address on the appointment to get directions.
Travel time
Each on-site service has a Travel time in Settings › Appointments. That much time is kept free before and after the visit, so back-to-back house calls across town can't be booked. See Set up appointments.
On-site visits follow each person's own hours, not the store's, so someone who works evenings can be booked for an evening house call.
Set your service area
Only an owner can change where your store goes.
- Go to Settings › Appointments.
- Under On-site visits, choose Where you go. The choices are below.
- Fill in the details for your choice.
The choices are:
- Anywhere: every address is taken. This is how it starts.
- Up to a distance from the store: pick As far as, from 5 to 250 km, measured in a straight line from the store's address.
- Only to the places I list: add each town, city or start of a postal code, such as V5K, under Add a place, then click Add.
- Inside an area I draw on the map: click the map at each corner of the area, at least three, then click Save the area. Undo takes back the last change and Start over clears it.
If the setting says it can't check addresses yet, nobody is turned away until it can.
Bookings outside the area
On your online booking page, customers are told where you go, and an address outside it is turned away.
At the counter, the booking stops and says the address is outside where you go:
- An owner or manager can tick Book it anyway: I know it's outside where we go and book it.
- Anyone else needs an owner or manager to approve it on the spot. The approver chooses their name under Approved by and types Their PIN.
Owners and managers set their approval PIN in their own account.
