Customers and their devices

Find a customer, add a new one, keep their details up to date and record the devices they bring in.

Customers in the left menu holds everyone your store looks after. Each customer has a profile with their contact details, their devices and everything they've had done. Everyone on staff can see and add customers.

Find a customer

  1. Open Customers.
  2. Type in the search box. It matches a name, phone number, company or email as you type.
  3. Click a row for a quick look: what's in the shop now, their devices and any pinned notes. From there, Open profile goes to the full page.

The tabs along the top narrow the list: All customers, With open repairs, Flagged and Feedback. Click a column heading to sort, and use the column chooser to show or hide columns.

Add a customer

A first name and a mobile number are all it takes.

  1. On Customers, click New customer.
  2. Fill in First name and Mobile. The mobile number needs 10 digits, in any format.
  3. Add an Email if they want emailed receipts and updates.
  4. Choose Contact by: Text, Email or Call. Messages go out the way they prefer.
  5. Optionally add an Other phone, choose Personal or Business under Customer type, and add a Company.
  6. Click Add an address if you need one. The street box may suggest addresses as you type, and picking one fills in the rest.
  7. Click Add customer.

If someone already has that mobile number, the form says so with a link to their profile, so you don't start a duplicate.

You can also add a customer while you check in a repair or book an appointment.

The customer's profile

The top of the profile shows how they like to be contacted, any standing discounts, and whether they have a loaner phone. The tiles below count their visits, open service orders, devices and what they owe. Click a tile to jump to the matching tab.

The tabs hold their Service history, Notes, Messages, Invoices, Quotes, Appointments, Part requests, Loaners (once they've borrowed one) and Activity, which lists everything that happened with them, newest first.

To change their details, click Edit on the Contact card, or Edit details in the More actions menu (the three dots). Then click Save changes.

Their devices

Devices are usually added at check-in, but you can add one from the profile.

  1. On the Devices card, click Add device.
  2. Choose the Kind of device, such as Smartphone, Laptop or Console.
  3. Start typing the Manufacturer, then the Model. Suggestions appear as you type.
  4. Add the Colour, Storage, Carrier and the IMEI or Serial number. You can scan the number with the camera.
  5. Add the Passcode if they gave you one. It's stored encrypted.
  6. Click Add device.

Each device shows how many repairs it has had and, when its last repair is still covered, Under warranty until a date. Click Service order under a device to start a repair on it, or Edit to change it. When editing, leave Passcode blank to keep the one on file.
