Merge duplicate customers
Combine two profiles for the same person, so their repairs, invoices and messages are all in one place.
Sometimes the same person ends up with two profiles, such as one under a nickname or an old phone number. Merging moves everything from the duplicate into the profile you keep, then removes the duplicate from the customer list.
Owners and managers can merge customers.
Before you start
Open the profile you want to keep. The other one is the duplicate, and it's the one that goes away. Keep the profile with the right name and mobile number, since those stay as they are.
Merge a duplicate
- Open the profile you want to keep.
- Click More actions (the three dots).
- Click Merge a duplicate.
- Search for the duplicate by name, phone or email. Type at least two letters or digits.
- Pick the duplicate from the list. Each match shows its phone, email and number of visits to help you choose.
- Read the summary. It shows who moves into whom.
- Click Merge with both names to finish, or Choose someone else to go back.
What moves
Everything that belonged to the duplicate moves to the profile you keep:
- Repairs and devices
- Invoices and part requests
- Notes and messages
- Store credit and standing discounts
- Loaner history
When it's done, a message says what moved.
Stop duplicates starting
When anyone adds a customer or edits a mobile number, OnSite checks whether another customer already has that number. If one does, the form names them with a link to their profile, so you can use the existing one instead.
