Set up appointments
Choose what customers can book, who can be booked and when, how hourly work is charged, and how reminders work.
Owners and managers set up appointments in Settings › Appointments. Most choices here save as soon as you make them.
Appointment services
Only the services on this list can be booked as appointments. They're separate from the repair price book, because not every service is an appointment. Until you add one, staff type what each appointment is for.
- Click Add service.
- Give it a Name, such as One-on-one training, and a one-line Description.
- Under Where, tick In store, On site, at the customer's, or both.
- Choose its Length. Staff can still change it when they book.
- For on-site work, choose a Travel time. That much time is kept free before and after the visit.
- Under Charged, choose A set price, By the hour or Priced on the day, and enter the price if there is one.
- Under Who does it, tick the people trained for it. Leave them all unticked for anyone allowed that kind of appointment.
- Leave Charge tax on unless it's tax-free.
- Turn on Customers can book it online to show it on your booking page.
- Click Add service.
To stop offering a service, click Retire. Bring back restores it.
Hourly work rounds up to sets how hourly services are charged: the time from Start to Done, rounded up to this step. It starts at 15 minutes.
For customers
- Reminder: when customers are reminded, by text or email the way each prefers. It starts on the day before. Choose Don't send reminders to turn them off.
- Sent from: the time reminders go out, in store time. It starts at 10:00 AM. None go after 8 PM.
- Customers can move or cancel: how late customers can change a booking from the link in their messages. It starts at up to 2 hours before. No, they call us turns it off, and their page gives your phone number instead.
Who can be booked
This list sets who is booked in store, who is sent on site, and when each person works.
- Turn on In store, On site or both for each person.
- Click Hours to set when they can be booked. Leave The store's hours on to follow your store hours and holidays, or turn it off to set each day. Tick Off for days they don't work.
On-site visits follow the person's own hours, so a field technician can do evening visits. In-store visits must also fit your store hours.
Time off
Staff ask for time off from My timesheet. A request keeps them from being booked while you decide. Click Approve or Decline beside it.
Click Add time off to add it for someone yourself. What you add is approved as you add it.
