Book an appointment

Book a customer in store or on site, pick the next free time or any day, and move or edit the booking later.

Book an appointment when a customer calls or stops by to arrange a visit. It doesn't need a device or a repair. Everyone on staff can book.

You can start a booking from Book appointment on the Appointments page, from Book an appointment on a customer's Appointments tab, or from Book on a service order's Appointments card.

Book it

  1. Find the customer by name, phone or email. If they're new, choose the option to add a new customer and fill in their details.
  2. Under What's being booked, pick the service. It sets the length and price. If your store hasn't set up any services yet, you skip this.
  3. Under Where, choose In store or On site.
  4. Fill in What it's for.
  5. For an on-site visit, check the address. It starts as the customer's own address. Change it if the job is somewhere else.
  6. Optionally pick a Device from their devices, or type one. Choose No device if there isn't one.
  7. Add Notes for whoever it's with, such as a gate code or what to bring.
  8. Pick a time. Next free times suggests the soonest openings over the next two weeks. Or use Or choose a day and Length to see that day's free times, for anyone or for each person.
  9. Click the button at the bottom. It says exactly what it books, such as Book tomorrow at 2:00 PM with anyone.

The customer gets a confirmation the way they prefer, with a link to their own page for the booking. It shows when, where, what it's for and who it's with, with Add to my calendar. If your store allows it, they can also Move it to another free time with the same person, or cancel it, up to the cut-off you set in Set up appointments.

Anyone or someone

A time under anyone books whoever is free then, and someone takes it on the day. Under Or choose who, a time books that person. Only people allowed that kind of appointment, and working then, are offered.

Outside your service area

If an on-site address is outside where your store goes, the booking stops and says so. See House calls and your service area.

Move it

  1. Open the booking and click Move.
  2. Pick a new time the same way.
  3. Click the button. It says Move to and the new time.

The customer is told the new time.

Edit it

Click Edit on the appointment's page to change where it is, what it's for, what it's booked as, the address, the device and the notes. Switching between in store and on site is only possible until it starts, and it's checked against its time first. The time itself changes with Move.

Change who it's with

On the appointment's page, use the With menu to give it to someone, or choose Anyone free.

On the appointment's page, the Repair card can start a New service order from the appointment, or link one of the customer's open repairs. A booking made from a service order's page is linked from the start.
