Set up taxes and invoices

Choose your taxes, discount presets, discount and refund limits, ways to pay and invoice terms.

Settings › Invoicing and taxes decides what every invoice charges and says. Set it up before your first sale. A change applies to invoices made from then on; invoices already made keep the rates they were made with.

Owners and managers can change this section, except the discount and refund limits, which only an owner changes.

Taxes

  1. Go to Settings › Invoicing and taxes.
  2. Under Taxes, select Add a tax.
  3. Type its Name, such as GST, and its Rate %.
  4. Add another for each tax you charge, such as PST.
  5. Select Save invoicing.

Taxes are charged on taxable lines. Until you add one, invoices charge no tax.

Discount presets

Presets are the discounts staff pick from a list, such as Senior 10%.

  1. Under Discount presets, select Add a preset.
  2. Type a Name, choose the Kind (a percent or an amount), and enter the Percent or Amount.
  3. Select Save invoicing.

Staff who are allowed to discount can still type any other discount.

Discounts, refunds and cancelling

Owners can always discount, refund and cancel. An owner decides how far everyone else can go:

  • Front desk and technicians can discount up to sets the largest discount they can give on their own, from 5% to 50% of the line or invoice, or Any amount. Managers and owners can give any discount.
  • Refund payments and Cancel invoices each have a switch for Manager and Front desk. By default, managers and front desk can refund, and only managers can cancel.

Past the limit, an owner or manager approves on the spot with their approval PIN. Each owner and manager sets their own PIN in My account. See Your account.

Ways to pay

Under Ways to pay, switch off any method you don't take, such as cheques. Type your own name for a method if you like, such as Interac e-Transfer. Payment screens offer only the methods that are on, under your names. Payments already taken keep theirs.

Terms and the drawer

  • Due in (days): an unpaid invoice shows as overdue after this many days.
  • Cash float: the cash kept in the drawer overnight. The end-of-day count starts from it.
  • Round cash to the nearest 5 cents: cash that pays off a balance is rounded, so $190.52 becomes $190.50. Cards aren't rounded.
  • Invoice terms: printed at the foot of every invoice.

Select Save invoicing when you're done.
