Add your staff
Give each person their own sign-in and role, reset a forgotten password, or remove someone who has left.
Everyone who works at your store gets their own sign-in, so notes, repairs and payments show who did them. Owners and managers manage staff in Settings › Staff.
Add someone
- Go to Settings › Staff and select Add someone.
- Type their Email. This is what they sign in with.
- Type their Name as co-workers and customers should see it.
- Choose a Role. The hint under it says what that role can do. See Roles and what each can do.
- Type a Starting password: at least 10 characters with a capital, a number and a symbol.
- Select Add to your store.
Give them their email and starting password in person. The first time they sign in, OnSite asks them to choose their own password.
If the person already signs in at another of your stores, you don't need a starting password. They keep the password and name they already have.
How many people you can add
The top of the Staff section shows how many users you have in use, such as 3 of 4 users in use on Essentials. Essentials includes 2 users for each store and Pro includes 10. Someone who works at several of your stores counts once. When all your users are in use, an owner can switch to Pro in Settings › Billing, or you can remove someone first. See Billing and plans.
Change someone's role
Pick a new role from the list beside their name. It takes effect at once and signs them out, so they come back with the new role.
You can't change your own role. A manager can't change an owner, and a store always keeps at least one owner.
Rename someone or reset their password
- Select the pencil beside their name.
- Change their Name, or type a password under Set a new password.
- Select Save.
A new password signs them out everywhere and clears a lockout. Give it to them in person; they choose their own the next time they sign in. Someone who is locked out shows a Locked out tag.
You can't change a person's sign-in email here. To change your own password, use My account.
Sign someone out everywhere
Select the sign-out button beside their name, then Sign out everywhere. Every device they use goes to the sign-in page, at every store they work at. Their password stays the same, so if it may be known, set a new one too.
Remove someone
- Select the remove button beside their name.
- Select Remove.
They lose access to your store within a minute or two. Their name stays on the work they did. Any appointments booked with them from now on go to anyone, so someone else can take them.
You can't remove yourself. Ask another owner or manager.
