Ready for pickup and pickup
Finish a repair, record the work, tell the customer it's ready, then check them out and hand it back.
When the work is done, the repair goes on the pickup shelf. When the customer comes in, you take payment and hand it back. OnSite walks you through both with the main button on the order.
Mark it ready
- Open the service order.
- Select Mark ready for pickup. You can also drag its card to Ready for pickup on the board.
- If OnSite asks what was done, tick the completion codes that apply and describe the work, such as the parts replaced and the tests passed.
- Select Change status.
The work performed shows on the order's Checks & photos tab and stays with the repair's history.
If the repair couldn't be done, select Change status and choose Ready For Pickup - Not Repaired instead. A device that wasn't repaired carries no warranty.
Tell the customer
Once it's ready, OnSite offers to text or email the customer, the way they prefer. Select Text or Email and their name to send it, or Not now. The same offer shows on the board when you drag a card to Ready for pickup.
Your store may also send updates by itself when a status changes. See Automatic customer messages.
Check out
When the customer arrives:
- Open the service order.
- Select Check out. OnSite makes an invoice from the repair's lines and deposits and opens it ready for payment.
- Take the payment. See Take a payment.
When the invoice is paid in full, the repair closes as Completed, or Not Repaired if it wasn't fixed, with a note saying it was picked up.
If there's already an invoice with money owing, the main button says Take and the amount instead. Staff who can make invoices but not take payments see Create invoice. Technicians can't invoice or take payments.
Nothing to pay
If the repair has no charges, or its invoice is already paid, the main button is Mark picked up. Select it to close the repair as Completed or Not Repaired.
When the warranty starts
A repaired device is covered from when it's marked ready for pickup. The length is the longest warranty among its services: a service's own warranty from the price book, or your store's warranty days when it has none. The order's Warranty tab shows the date it's covered until. If you reopen a repair for more work, its warranty starts again when it's next finished.
See Warranty returns for what happens if it comes back.
