The repair board
See every open repair at a glance, move it along by dragging, and spot what's late or stuck.
Service orders is where the shop's open repairs live. Use it to see what's on the bench, what's waiting and what's ready, and to move repairs along. It updates live, so a change made at the counter shows on the bench screen straight away.
Board or list
Switch between Board and List at the top. OnSite remembers your choice, and your filters, for you at this store.
The board has four columns:
- Pending: checked in, not started yet.
- In progress: someone is working on it.
- On hold: waiting on something, such as a part or the customer.
- Ready for pickup: finished and on the shelf.
Each card shows the order number, device, problem, customer, technician, status and priority. A flag icon means a note on it is flagged for attention.
The tabs along the top narrow it down: All orders, Pending, In progress, On hold, Ready for pickup, Mine (assigned to you), Warranty claims and Closed. Closed and Warranty claims always show as a list.
Move a repair along
Drag a card to another column to change its status. On a touch screen, press and hold the card first. A message pops up with Undo in case you dropped it in the wrong place.
- Dropping on On hold asks What is it waiting on? Choose the reason.
- Dropping on Ready for pickup may ask what work was done first. See Ready for pickup and pickup.
For every status, and the Change status dialog, see Repair statuses.
Late repairs
The late tile at the top counts open repairs that are past the time promised to the customer or, when nothing was promised, open longer than your turnaround target for that type of job. Tap it to show only those; tap again to show everything. Late cards show Late or how many days late, such as 2d late.
Owners and managers set the turnaround targets in Service order settings.
Why it's waiting
Repairs on hold show a short reason so you know who needs to act:
- Waiting on a part: Part not ordered yet, Part ordered, Part shipped, Part back-ordered, Part delayed, or Part arrived when it's ready to go back on the bench.
- Waiting on the customer: Not contacted yet, Waiting for their reply, or Customer replied.
Red reasons need someone to chase them. Green ones mean the repair can move on.
Filters and search
Select Filters to narrow the board and list by technician (or Unassigned), priority, job type, Warranty return, how long ago it was checked in, Only late, Only overdue (past the promised time) and Only flagged. Active filters show as chips you can tap to remove.
The search box looks in the tab you're on, by order number, customer name, phone or device. To find a finished repair, search on the Closed tab.
Change several at once
In List view, tick the orders you want. The bar at the bottom lets you Change status, Assign, Flag, Unflag or Print labels, for up to 100 orders at a time. Anything that couldn't change is listed afterwards with the reason.
Print and export
The More menu (the three dots) has Print the pickup shelf, a checklist of everything ready for pickup, and Export to CSV, which downloads what's on screen for a spreadsheet.
